In Crystal Reports, sorting is done both at the record level and at the group level. By default groups are sorted alphabetically, then the records within each group are sorted 'naturally', e.g. as they are stored in the source database. You have the ability in Crystal Reports to change the order of groups when creating them, just as you have the ability to create the sort order of the records within each group.
(Using the general_ledger_detail_(qqube10.x).rpt Go to Report>Record Sort Expert.
The first two items in the Sort Fields area are the Groups set up for this report. As iterated above, groups are the first sorting mechanism. The first group is the QQube Trial Balance sorting mechanism; the second group is the Account Number sorting mechanism. The first detail RECORD sorting mechanism is the Transaction Date.
Let's add another sorting mechanism: We want the Document Numbers to put in order, for each date. Find the GLTxn Document Reference Number field and move it from the Available Fields section to the Sort Fields section.
Notice that each individual sorting mechanism can be INDEPENDENTLY sorted in Ascending/Descending order.
Lastly, you can change the order of which item gets sorted first (Remember that Groups ALWAYS will sort first, before records).
